Cancellation Policy
Unlike medical practices, therapists only schedule one client per hour, meaning if the client does not show up, they can not work during that hour. Because of this, there is a cancellation fee put into place in the event that a cancellation has to happen.
If you tend to have a hectic or unpredictable schedule, please discuss this with Coral Seco, LMHC in advance, especially if you believe that it may be difficult for you to make a particular appointment. As stated in the informed consent form, there is a 48-hour cancellation policy. In order to avoid confusion, the policy is detailed below:
Any appointment missed, canceled, or rescheduled with less than a 48-hours notice will be charged at the full session fee.
Due to the nature of the therapeutic work, boundaries around this policy are strictly enforced and non-negotiable. It is important that you not only honor the time and commitment to yourself, but that of your practitioner that is holding space to meet with you for your session. Any and all cancellations are to be made through contacting Coral Seco, LMHC within 48 hours of my session.
Calling or texting in asking to not be charged, will not be tolerated and may be subjected to termination of the contract with the practitioner and result in being discharged from the practice.
It is highly advised that you reserve canceling or moving sessions only for emergencies as availability for appointments may not be available. And in lieu of having to pay for the cancellation fee.
If you need to cancel or move your appointment:
It is advised that if you realize you need to move your appointment you log into your Simple Practice web portal and make a request to move it to another time within the week. If and only if, there is availability you may select the date and time and it will be sent to Coral Seco, LMHC to approve. You will be allowed to move the appointment one time without incurring the cancellation fee, if and only if there is availability during the week the service was intended for and that it was not requested by someone else prior to your submission. (Eg. If your appointment is on a Tuesday and you need to cancel, you may then select another time for Tuesday if available, Wednesday, Thursday or Friday of that week.) If someone requested that time before you- Coral Seco, LMHC will reach out and let you know and may provide you with other times. There are no guarantees that an accommodation may be provided, as the scheduling system is on a first come, first served basis. If an accommodation can not be made, you will be subject to the cancellation fee.
Even when an appointment is only made with less than 48-hours notice, the patient is responsible for payment upon cancellation as described above.
For clients that request Superbills: Insurance companies will not pay for missed sessions. If you miss a session or cancel with less than 48-hours notice, you will be charged the full fee. In addition, these missed or canceled sessions will be reflected as such on the SuperBill. (eg. If you request for a SuperBill it will be documented that the session did not take place, but will bed charged as ““Missed Session Fee”)
Circumstances, like falling ill, may occur. If you feel symptomatic, it is asked that you please not come to the office, in lieu of spreading anything that may be contagious. It is suggested, that if you feel like you can meet, that the session be moved virtually or moved to another day during the week.
If you are a student athlete, it is advised that you bring your game and practice calendar to session and plan out your session times and days.
Excessive missing appointments, whether paid or unpaid, will result in a reevaluation of our contract and your continuation in therapy. Coral Seco, LMHC reserves the right to terminate the counseling relationship in the event that 2 consecutive appointments are missed with or without notification of cancellation. Please note that consistency in counseling, and attending each session will provide you with the optimum potential to benefit from your therapeutic experience.If Coral Seco, LMHC feels you are not adhering to clinical recommendations, you may have your services terminated. In the event that we terminate services, Coral Seco, LMHC will offer you referrals and administratively discharge you from the practice within 4 weeks of the referral(s) provided.
*If unforeseen circumstances take place that Coral Seco, LMHC has to cancel your session during the week and your session has to be moved to the weekend- The regular session fee will be billed, in lieu of the Weekend appointment fee. If you can not meet that week- the cancellation fee will be waived.
Coral Seco, LMHC may use her discretion to waive the cancellation policy if she determines that the missed appointment was due to an unavoidable emergency.
Work-related conflicts, other appointments, changes in travel arrangements, or forgotten appointments do not constitute unavoidable emergencies and will be subject to the cancellation fee.
